What to look out for when choosing an email verification tool

A lot of the email verification market feels as if they are heading for a race to the bottom, with how many emails get verified for the cost.

And yet, there is still a pretty wide variation across service providers in terms of how accurately they are able to validate emails.

We have taken some of the work out for you by listing some of the tools that have passed our vetting process, but fortunately, it’s really straightforward to compare one vendor to the next.

All you have to do is validate a batch between 1 – 500 emails for the providers you are considering, and send some emails out. Then look at the bounce rate that’s returned.

A lot of times, that’s the very best way to choose the best provider, and of course, there is the function of accuracy to price.

I would just weigh those two metrics together, and the providers listed in this article are reputable, and this article is a great place to start your research.

How do email verification tools work?

At one point, I’ve thrown around the idea of developing my own email verification tool. But it turns out that it’s not something for the faint of heart or for someone who is not extremely technical.

In short, there are a lot of servers and testing that go into whether an email address is real or fake. These tools have a process for pinging an email that helps them determine if it’s real or not.

So basically, email verification tools check if an email address is real and able to receive an email before you send a mail.

Here’s how the process works:

First, the tool checks your email’s format. This makes sure that it’s structured correctly, with no typos, missing @ symbols, or invalid characters.

Then it looks at the domain to ensure that it actually exists and has valid mail servers set up.

From there, most tools run an SMTP check, which connects to the recipient’s mail server and asks if the specific mailbox exists, without actually sending an email.

Good tools also flag things beyond just “valid or invalid”.

For example, they will flag disposable emails (temporary addresses people use to dodge spam filters), role-based accounts (like info@ or support@, which often have lower engagement), spam traps (addresses set up specifically to catch spammers), and catch-all domains (servers that accept all emails regardless of whether the mailbox is real, which makes them harder to verify with full confidence).

The end result is a clean email list sorted by deliverability, so you know which addresses are safe to email, which are risky, and which you should get rid of to ensure a good sender reputation.

Are there any free email verification tools that are good?

There are many free trials you can use, but it’s always best to invest and pay the money for a good tool. In our experience, there are no good “free” email verifiers that we would use for our agency.

If it’s free, it’s probably terrible. And if it’s very cheap, it’s probably awful.

While the landscape is getting cheaper, you need to handle this with caution and always use one of the best tools available.

Are email checkers safe and legal?

SalesBread doesn’t offer legal advice, and we suggest always consulting your legal team, but I know that using email verifiers, especially for an email list that may be decaying by something like 5% a year (because people change jobs, etc.), even a good opt-in list can go bad; It is best practise to use an email verifier periodically.
